How the setup simulator works

A receptionist setup is a set of decisions about your business: when you are open, which jobs can go straight onto the calendar, which ones a person should schedule, who hears about an emergency and how fast, and what a caller is told when they ask the price. The simulator asks for those decisions in that order, starting from a fictional sample business in your trade, so you change details instead of writing everything from nothing.

As you edit, the page rebuilds four things: a list of what the receptionist would handle and what stays with your team, readiness checks that point at anything that would not work as written, a call flow outline built from your rules, and the list of what Chleb needs from you at setup. The last step runs a simulated call against your rules and shows the records your team would see after it.

Nothing you enter reaches Chleb unless you press Send plan, and the form lists everything that button sends. Printing and copying the plan happen on your device, and leaving the page discards what you entered. The test call runs in your browser as well. If you use its microphone or have replies read aloud, your browser handles that speech, and some browsers, including Chrome, use the browser maker's online service for it.

What the receptionist handles and what stays with people

A Chleb receptionist answers every call, day and night. It collects the caller's name and callback number, plus the service address or whether they are new or existing when you ask for them. It books only open slots on the connected calendar and hands anything urgent or outside your rules to a person with the details and the transcript attached. Recordings and transcripts of calls are kept. In the simulation on this page, the receptionist also reads the booking details back before it books.

Some work should stay with people, and the plan shows where your rules put it. Jobs you mark as not bookable, such as a large estimate, go to your team to schedule. Urgent calls go to the person you name, by a live transfer, by a text with the caller's details, or as a message for a callback, depending on what you choose. Messages still need someone to call back, and the plan says so.

Price questions are the clearest example. In the simulator the receptionist never names a price you did not write: it says the price is confirmed after the visit, reads the answer you wrote, or passes the question to a person. At setup, your price answer becomes part of the call flow, which Chleb builds from your actual services and pricing.

What the readiness checks look for

The checks are plain rules about your own setup, not a score. A check marked to fix means the setup would not work as written. A check marked to check means it works, but you should confirm it is what you want. Each one links back to the field that changes it.

  • Hours: with no open hours the receptionist still answers, but it has no appointment time to offer, so every booking request becomes a message.
  • Bookable services: if nothing is bookable, every caller who wants an appointment is passed to your team.
  • Service length: a job longer than your longest open day can never be booked.
  • Handoffs: a live transfer or a text needs a named person, and an urgent call set to become a message waits for a callback.
  • Price answer: any number in it, and words such as free or guaranteed, are something every caller can hold you to.
  • Caller words: a word that marks a call urgent and also describes a bookable service sends those callers down the urgent path instead of onto the calendar.
  • Booking window: a lead time longer than the days you allow ahead leaves no time to offer.

What Chleb needs from you at setup

The plan ends with the list the Chleb team works through with you before the receptionist answers real calls. Your hours, services and handoff rules come straight from the simulator. The rest is access and checking.

What the simulator cannot know

The simulator works from what you type and a fixed set of rules. It cannot see your real calendar: the openings it offers come from a sample calendar that marks some times as taken, so a real week will look different. It cannot see your phone line either. Which calls your carrier forwards, and when, is set on the line itself and checked during setup.

It also cannot hear how your callers talk. The simulation recognizes common phrasings and the words you list, and anything else gets a request to rephrase or a message for your team. Printing and copying stay on your device, and leaving the page discards what you entered.

Do I keep my business phone number?

Yes. The receptionist works with the number you already have. Setup needs access to your phone line settings so calls can be forwarded to it.

Will it book into the scheduling software I already use?
